Terms of Service

1. Acceptance

By registering for or using SchoolFlow, you agree to these Terms of Service. If you are registering on behalf of a school, you confirm you have authority to bind that school to these terms.

2. The service

SchoolFlow provides a cloud-based school management platform including student records, attendance, fee collection, results, report cards, and staff management. We reserve the right to modify or discontinue features with reasonable notice.

3. Free trial

New accounts receive a 30-day free trial with full access to all features on your selected plan. No payment is required during the trial. At the end of the trial, you must subscribe to continue using SchoolFlow. Your data is retained during and after the trial.

4. Subscriptions and payments

Subscriptions are billed monthly or annually in Zambian Kwacha (ZMW) via Lenco (card or mobile money). Prices are listed on our pricing page and within your billing dashboard. Subscriptions do not auto-renew — you must manually renew before the expiry date to avoid interruption.

We do not offer refunds for unused subscription periods except where required by law.

5. Account responsibilities

You are responsible for maintaining the security of your account credentials. You must not share your admin login with unauthorised persons. Use the built-in staff invitation system to give team members access.

You are responsible for the accuracy of data entered into SchoolFlow, including student records, fees, and results.

6. Acceptable use

You agree not to:

• Use SchoolFlow for any unlawful purpose.
• Attempt to gain unauthorised access to other schools' data.
• Use the platform to harass, defraud, or harm students, parents, or staff.
• Reverse engineer or copy any part of SchoolFlow.

7. Data ownership

All data you enter into SchoolFlow (student records, fees, results, etc.) belongs to your school. We do not claim ownership of your data. You may export or request a copy of your data at any time.

8. Limitation of liability

SchoolFlow is provided "as is." We are not liable for any loss of data, missed exam results, or financial discrepancies arising from use of the platform. We strongly recommend keeping backup records of critical school data.

9. Termination

You may cancel your account at any time by contacting support@schoolflowzm.com. We may suspend or terminate accounts that violate these terms. Upon termination, your data is retained for 90 days then permanently deleted.

10. Governing law

These terms are governed by the laws of the Republic of Zambia.
